Tenant Coordinator

The primary responsibilities of the Tenant Coordinator are to act as the first point of contact for tenants and guests both in person and on the phone. To create a warm and welcoming first impression and act as the face of the property operations team. Tenant Coordinator will also assist property management with the day to day operations, tenant relations, and accounting through coordination of tenant requests and administration of maintenance services.

  • Primary contact for tenant work orders and building related inquires
  • Prioritize and communicate repeat tenant requests or unusual and/or unreasonable situations to the Assistant General Manager
  • Update and maintain current daily and emergency tenant contact lists and tenant information manuals
  • Code and process vendor invoices utilizing required expense allocations
  • Maintain and organize manual and electronic filing system
  • Create invoices for tenant work orders for billable services on a bi-monthly basis
  • Manage and track sustainability statistics for the property including waste diversion and utilities
  • Communicate scheduled contractor work to tenants and coordinate special requirements
  • Prepare and distribute building wide communication i.e. TV monitors, newsletters, and one-off notifications
  • Communicate with contractors to provide COI samples and review COI’s for accuracy
  • Set up new vendors in accounting system
  • Manage initial card access issues for tenants and vendors
  • Work with tenants to schedule loading dock activities and coordinate with security
  • Assist property team with assembling budget package
  • Complete weekly reporting as requested
  • Provide support to General Manager by producing, modifying, and/or distributing various forms, spreadsheets, manuals, information packages, scheduling and miscellaneous deliverables
  • Attend all required meetings; take meeting minutes when required and complete follow-ups as needed
  • Other tasks pertaining to 401 Park or Samuels & Associates assigned by General Manager or Corporate Office not included in above
  • Real estate or business-related courses of college study preferred
  • Excellent communication, organizational, and leadership skills necessary
  • Ability to prioritize wisely and manage timelines
  • Experience in improving customer experience
  • Ability to use Word, Excel, and Outlook
  • Ability to work a flexible schedule that may periodically include Saturdays and/or Sundays for assistance with property events
