Support the Parcel 12/1001 Boylston/Lyrik team with the transition from development to operations and open one of Boston’s most exciting mixed-use property in the heart of Back Bay.  Located at the end cap of Newbury Street, this property bridges the City’s most vibrant retail and commercial corridors.  The building will be home to the global and US headquarters (respectively) of CarGurus and LEGO, a flagship 399-key citizenM hotel, and a multi-level retail plaza that will bring heightened activity to this edge of Back Bay.

Overall P12 is a complex project with several stakeholders involved, requiring a high level of communication and guidance throughout the transition to opening. The Tenant Coordinator will assist the Property Management team in establishing and refining processes and procedures for the day-to-day operations including but not limited to partner/lender reporting, tenant relations, file/contract management, building systems setup and management, and accounts payable processing.  As a front-line ambassador for the property the Tenant Coordinator will be the liaison between commercial and retail tenants and the management office to assist in providing immediate assistance with tenant and building related matters.

  • Provide support to the Property Management team by producing, modifying, tracking and /or distributing various forms, reports, spreadsheets, manuals, information packages, and miscellaneous deliverables.
  • Build and maintain a document library for property/project specific documents such as design guidelines, NFPA 241 fire safety program, building rules & regulations, tenant plans, etc. Organize and file all applicable reports, leases, and paperwork and update and maintain current daily and emergency tenant contact lists.
  • Work with vendors to make sure building systems are operational, such as coordinating tenant and building staff security system access, the property’s payment platforms, work order systems, etc.
  • Act as the main point of contact and liaison for tenants, contractors, and vendors, including the scheduling of contractor work. Dispatch personnel based on immediate needs and notify the appropriate parties.
  • Manage Tenant Experience and Work Order system(s), including updating commercial and retail tenant information, adding/ removing users, and maintaining engagement levels with building occupants within the platform. Utilize system to send out all building and neighborhood activity information. Provide usage data to team for review and make suggestions for improvement.
  • Build relationships with the tenants during their fit outs and assist them in welcoming them to the property. Assist Property Management in promoting, establishing, and maintaining positive relations with tenants with the day-to-day operations of the property.
  • Attend weekly commercial and retail tenant construction meetings as their spaces are being fit out and assist in managing meeting minutes and action items following the meetings.
  • Manage accounts payable including setting up new vendors, creating purchase orders, coding and processing vendor invoices utilizing required expense allocations. Ensure vendors are billed according to contracts, negotiated rates and property budgets, and approving vendor checks to be distributed.
  • Conduct a weekly walk through that includes inspection of common area and grounds. Provide feedback to the Property Management team and assist in implementing actions items walk.
  • Send weekly update on all property matters to team, and third party vendors (i.e., concierge and janitorial)
  • Provide tenants and vendors with assistance in all aspects of scheduling building maintenance, communicating building procedures and supplying general building information.
  • Work with the certificate of insurance management company, to ensure compliant insurance certificates are on file for all contractors performing work at the properties.
  • Execute prompt, accurate billing of tenant work orders for billable services on monthly basis, Assist in the maintenance of an organized updated manual and electronic filing system for all property invoices, purchase orders, vendors, invoices, tenant work order billings and other general files. Send out A/R and open Work order reports daily.
  • Field all tenant event inquiries and maintain calendar and availability of amenity space(s).

  • College degree preferred
  • Real Estate of business-related course of study preferred
  • Excellent communication, organizational, and leadership skills necessary
  • Ability to interpret, evaluate, and communicate detailed written or verbal instructions to other accurately and quickly, including answering phones, attending meetings, written correspondence, or other forms of communication
  • Ability to lift, push, pull or carry up to 15 pounds for the dissemination of documents, supplies, materials, etc. to various locations throughout the office/facility
