South Standard

The Resident Service Associate at South Standard is responsible for providing high-level service to current and prospective residents, assisting with leasing operations, move-ins and move-outs, maintenance coordination, and accounts payable tasks. This role ensures smooth property operations, resident satisfaction, and vendor relations within South Standard’s mixed-use community in South Boston, which includes both residential apartments and retail spaces.

Reports to: General Manager

 

1. Resident Interaction:

  • Greet residents and visitors with professionalism and a friendly attitude.
  • Handle inquiries from residents and potential tenants via phone, email, and in person regarding apartments, amenities, and policies.
  • Resolve resident complaints and concerns, escalating complex issues to the property manager when necessary.
  • Build and maintain strong relationships with residents to promote retention and encourage lease renewals

2. Leasing Support:

  • Assist prospective tenants with available units, property tours, and the application process when the Leasing Consultant is unavailable.
  • Prepare and process lease agreements, handle applications and supporting documentation, and follow up with leads to secure new leases.

3. Lease Renewals:

  • Collaborate with the General Manager and Leasing Consultant to deliver renewal offers and maintain records of renewals and notices to vacate.
  • Discuss renewal options with residents, prepare new lease agreements, or guide through move-out processes.
  • Contribute to resident retention strategies, including special offers or incentives.

4. Move-In and Move-Out Processing:

  • Move-In: Assist new residents with move-in procedures, including conducting inspections, providing keys, and completing paperwork.
  • Move-Out: Guide residents through move-out processes, including conducting inspections and processing security deposit refunds in line with policies.

5. Accounts Payable Processing:

  • Assist with reviewing vendor invoices for property-related services, ensuring accuracy and compliance with contract terms.
  • Route invoices for approval, process them for timely payment, and ensure compliance with company policies.
  • Work with the accounting department to maintain accurate payment records and monitor outstanding invoices.
  • Communicate with vendors to obtain invoices and necessary documentation for payment processing.

6. Maintenance Coordination:

  • Receive and prioritize resident maintenance requests, ensuring timely communication with the maintenance team.
  • Follow up on the completion of requests and ensure proper documentation.

7. Property Presentation:

  • Ensure that common areas, available units, and model apartments are well-maintained and professionally presented.
  • Assist with periodic property inspections, ensuring needed repairs are reported and tracked.

Qualifications:

  • Education: High school diploma required; some college or experience in property management, business, or accounting is preferred.
  • Experience: Prior experience in customer service, property management, or administrative roles is preferred. Familiarity with accounts payable and financial tasks is a plus.

Skills:

  • Strong communication and interpersonal skills for effective resident, tenant, and vendor relations.
  • Excellent organizational skills and attention to detail, particularly with financial transactions and lease documentation.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and property management software. Familiarity with accounts payable systems is beneficial.
  • Ability to work independently and as part of a team.
  • Basic knowledge of accounting principles and financial transactions is advantageous.

Work Environment:

  • Primarily office-based along with walking the property for tours, move-ins/move-outs and to ensure the community is operating smoothly.
  • Ability to work evenings and weekends as needed for leasing and resident events.
  • Ability to lift or carry up to 15 pounds for distributing materials and supplies.
