Assist Property Management with the day to day operations, tenant relations, and accounting for assigned property or portfolio through the coordination of tenant requests and administration of maintenance services.

Reports to: Assistant General Manager

People

  • Primary contact for amenity space, guest suite, elevator bookings, shower access for office tenants, bike room access for residents and tenants
  • Schedule, coordinate, and provide tenants with holiday and special event notifications such as welcome breakfasts, recycling audits/promotional events, etc.
  • Conduct monthly wellness checks with key tenant clients with Assistant General Manager to develop, nurture, and maintain relationships and develop action steps for improvement
  • Communicate issues or suggestions raised by residents and tenants to strive for excellent customer service

Profit

  • Review and approve all invoices and input to the correct GL code
  • Process employee expense reports
  • Create monthly billbacks for residential and retail tenants
  • Assist accounting and management teams with the completion of the annual primary reconciliation

Process

  • Develop and maintain all Standard Operating Procedures for managed areas
  • Review building service contracts with Area Manager and Area Operations Manager
  • Track and compare contract proposals and be the primary point of contact for vendors regarding service agreements and invoicing
  • Coordinate BPDA trainings annually or as needed based on staffing changes
  • Complete BPDA annual report
  • Ensure all valid COI’s are current for all vendors
  • Conduct site tours when Leasing Manager is unavailable
  • Assist with renewal discussions and paperwork
  • Prepare and deliver communication to residents and tenants of upcoming property or apartment work through Rent Café or direct correspondence
  • Complete annual Association Binders
  • Complete quarterly audit of files
  • Complete archive of files, invoices, and checks and organize all applicable reports, leases, and paperwork
  • Maintain and update Renter’s Insurance for all (audit quarterly)
  • Update Personal Property Documentation and Census for the City of Boston annually
  • Manage “Make Read Schedule” and communicate to Samuels & Associates team and vendors
  • Process move-ins and move-outs in Yardi
  • Assist Assistant General Manager with SODA Process

  • High School Diploma required; College degree preferred
  • Real Estate of business-related course of study preferred
  • Excellent communication, organizational, and leadership skills necessary
  • Ability to interpret, evaluate, and communicate detailed written or verbal instructions to other accurately and quickly, including answering phones, attending meetings, written correspondence, or other forms of communication
  • Ability to list, push, pull or carry up to 15 pounds for the dissemination of documents, supplies, materials, etc. to various locations throughout the office/facility
