In The Fenway, there’s never an off season and the Events and Activations Coordinator is the magic that makes it happen. This critical role is responsible for the coordination and execution of a wide array of events, ongoing series, and programs in The Fenway neighborhood including Fenway Fridays, 150 Days of Summer Series, The Rink at 401 Park opening and other seasonal signature events just to name a few.   The role reports to the Director of Marketing, works directly with the Marketing Manager and collaborates alongside a driven and innovative marketing team charged with promoting and building amazing destinations that embrace the spirit of the neighborhood.

 

Reports To:  Director of Marketing

  • As a part of the marketing team, ideate and innovate to help make The Fenway Boston’s must-see-must-visit-neighborhood
  • Execute The Fenway Neighborhood events plan, working closely with the S&A Marketing Manager to ensure events, programs and ongoing series meet plan goals
  • Manage event logistics prior to and on event day including run of show management, troubleshooting, and vendor management
  • On-site point of contact during all events (including some nights and weekends)
  • Support Marketing Manager in negotiation and confirmation of all contracts, including bands, AV, food and beverage, lighting, rentals, performers, music, etc.
  • Own the paperwork trail, ensuring contracts are executed with legal, certificate of insurance is acceptable and on file, and all promotional materials are in place
  • Manage event calendar and prepare event budgets, monitor revenue and expenses, and take corrective action to meet financial goals
  • Create and maximize sponsorship revenue opportunities and document sponsor representation
  • Evaluate and recommend improvements for all events and programs, present event recap reports to marketing team
  • With the Marketing Manager, recommend marketing and promotional strategies, and coordinate creation and production of marketing/promotional material (program descriptions, printed promotional materials, and signage)
  • Identify event resources/vendors, and handle outreach and coordination where needed
  • Other duties as assigned

  • You prefer to be on the run, ensuring things are running as they should, checking in with vendors and tenants, walking the event up to 30 days in advance to be sure everything will go as planned because that’s who you are
  • You love building relationships with a variety of stakeholders from all backgrounds (i.e. tenants, staff, and neighborhood partners) and storytelling is in your DNA
  • You are enthusiastic, energy-giver and problem-solver
  • You have at least 2 years of experience related to running events, coordinating events, hosting events
  • Detail-oriented with the ability to manage projects from inception through execution
  • You are genuinely excited to absorb and embrace the spirit of the Samuels & Associates brand
