The Contract and Document Administrator is a dynamic team player who will assist in providing contract and document management services across the portfolio– including contract drafting and negotiation, document review, document database retention and database management, and leasing and contract reporting.
Reports To: SVP, Legal
- Draft and negotiate all manner of real estate management and development related contracts, including service, consultant, and minor construction and design contracts.
- Maintain document retention database, master contracts workbook, and other internal tracking systems.
- Manage annual property operations service agreement renewals.
- Manage document execution process and procedures; ensure internal compliance with document preparation and execution requests.
- Prepare consultant and tenant notices (notices to proceed, default, etc.) and similar communications.
- Track and report on critical dates and timelines.
- Abstract contracts.
- Train employees on document retention
- At least 3 years of contract negotiation and management experience, preferably in a real estate environment.
- Experience with document retention and management systems (I.e., Netdocs, Desksite, Ironclad, MFiles, etc… (MFiles is a plus).
- Must possess strong organizational, interpersonal, and communication skills (both verbal and written).
- Must be able to engage with staff at all levels of the organization and exercise sound judgment.
- Highly collaborative, thoughtfully practical.
