The Assistant General Manager is responsible for assisting the General Manager in maintaining all aspects of property operations. It is the Assistant General Manager’s responsibility to know and adhere to all federal, state, and local laws, as well as all the policies and procedures contained in the manuals issued by Samuels & Associates.

Reports to: General Manager

People

  • Build relationships with residents
  • Primary point of contact for leasing inquiries
  • Conduct tours or property to prospective tenants
  • Appropriately communicate to applicants on the result of the applications
  • Primary point of contact for amenity space and elevator bookings

Product

  • Monitor advertising effectiveness

Profit

  • Ensure all appropriate payments are received and paperwork is complete
  • Process all checks and wires
  • Review monthly GL and quarterly reports to review with General Manager
  • Assist General Manager in completing monthly variance notes
  • Assist General Manager in completing monthly operations report
  • Ensure valid COI’s are current for all vendors
  • Process employee expense report
  • Audit utility invoices and send Yardi utility invoices
  • Assist in the development of the annual budget
  • Review and sign new and renewal residential leases
  • Manage water/sewer bill back process

Process

  • Develop and maintain all Standard Operating Procedures for managed areas
  • Prepare renewal letters and update renewal tracker with Leasing Manager
  • Manage renewal process (follow up, negotiation, commitment and entering in Yardi)
  • Respond to all leads in timely manner and collect/record accurate information
  • Ensure apartments are move-in fully turned with keys made
  • Ensure the move-in process is smooth for new residents
  • Send 14 Day Notices to Quit in accordance with state law
  • Follow up with delinquent accounts and follow eviction process in accordance with state law
  • Complete quarterly audit files
  • Maintain renter’s insurance
  • Complete BPDA annual report
  • Update census for the City of Boston
  • Process move-ins and move-outs in Yardi
  • Process SODAS in Yardi in accordance with state laws
  • Attend and/or conduct all required meetings including daily huddle with General Manager & Service Manager, weekly Assistant General Manager cadence meeting, weekly cadence meeting, property walk throughs, and weekly asset call
  • Assist the GM with additional special projects
  • Other duties as assigned

  • College degree preferred
  • Real Estate of business-related course of study preferred
  • Sales experience and or/ real estate leasing required
  • Property management and leasing experience is essential
  • Excellent communication, organizational, and leadership skills necessary
  • Experience with Yardi, MRI, YieldStar, and LevelOne is preferred
  • Ability to interpret, evaluate, and communicate detailed written or verbal instructions to other accurately and quickly, including answering phones, attending meetings, written correspondence, or other forms of communication
  • Ability to lift, push, pull or carry up to 15 pounds for the dissemination of documents, supplies, materials, etc. to various locations throughout the office/facility
