The Assistant General Manager is responsible for assisting the General Manager in maintaining all aspects of property operations. It is the Assistant General Manager’s responsibility to know and adhere to all federal, state, and local laws, as well as all the policies and procedures contained in the manuals issued by Samuels & Associates.

Reports to: General Manager

People

  • Schedule and send Rent Café building communications
  • Communicate with investor unit condo owners regarding status of leasing for their residence
  • Manage and maintain relationships with retail business owners
  • Communicate with Service team regarding on-going repairs throughout the building, vendor scheduling, in process improvements, residential maintenance issues, etc.
  • Communicate with Sonder USA management to discuss property operations, improvements, changes in procedure, guest incidents, etc.
  • Assist General Manager with recruitment and selection of talent

 

Product

  • Oversee all aspects of residential tenant experience to ensure superior service is at the forefront including:
    • Move in and move out process
    • Move in follow up/check ins
    • Work order follow up
    • Address any tenant issues, concerns,
  • Plan and schedule weekly and monthly resident events for following month
  • Walk vacant apartments regularly
  • Monitor Transit screen and update weekly

 

Profit

  • Process all checks and wires
  • Review and post NSF and returned payments
  • Review and post deposit accounting statements and communicate with accounting department
  • Manage residential tenant escrow accounts
  • Tenant Accounts Receivables management:
    • Share updated AR report and delinquency details with General Manager and Chief Operating Officer
    • Manage rent delinquency including resident follow up and legal action in accordance with S&A standard procedures and state “Friendly Reminder” emails to all residents who will receive a 14-day Notice to Quit
    • Review accuracy of residential and tenant ledgers
    • Review occupied and vacant utility bills and post billbacks
    • Post monthly water billbacks to apartment/investor/retail tenants
    • Complete review of investor unit revenue reimbursements with accounting
    • Issue damage charges, cleaning fees, as needed to resident ledgers
  • Complete monthly expense review, accruals, and variance reports with General Manager and Client Service Associate for apartment, retail, and association entities
  • Assist in the development of the annual budget

 

Process

  • Develop and maintain all Standard Operating Procedures for managed areas
  • Complete monthly lease file audit for all move ins
  • Manage construction projects happening in the building when they are impacting the tenant experience including coordinating and investigating construction issues and noises
  • Manage all tenant communication
  • Update site activity tracker (portfolio wide)
  • Manage renewal process with Leasing Manager (follow up, negotiation, commitment and entering in Yardi); ensure internal leasing renewal tracker is updated
  • Attend and/or conduct all required meetings as needed

  • College degree preferred
  • Real Estate of business-related course of study preferred
  • Sales experience and or/ real estate leasing required
  • Property management and leasing experience is essential
  • Excellent communication, organizational, and leadership skills necessary
  • Experience with Yardi, MRI, YieldStar, and LevelOne is preferred
  • Ability to interpret, evaluate, and communicate detailed written or verbal instructions to other accurately and quickly, including answering phones, attending meetings, written correspondence, or other forms of communication
  • Ability to lift, push, pull or carry up to 15 pounds for the dissemination of documents, supplies, materials, etc. to various locations throughout the office/facility
